Someone finally replied. What did you send them?

One record per job holds the role you applied for, the tailored CV and letter you wrote for it, your prep, your notes, and where it stands today. No hunting back through 6 months of email.

One application open, showing its stage in the pipeline, how ready it is, and the documents it has produced

The whole application, not a status column

  • The role you applied for, still on the record

The job title, the company, and the link you found it through stay with the application after the listing itself has gone.

  • The documents that job produced

Open the tailored CV, the cover letter, and the interview prep from the job they belong to. The CV and the letter build into a fresh PDF from what is on the record, and each build spends one of your monthly PDF downloads.

  • What you said you would do

Your notes on who you spoke to and what you promised them, plus the day you applied and the day to follow up.

  • One list, organised by stage

Search, sort, or filter applications across Preparing, Applied, Interviewing, Offered, and Closed. The most useful next actions appear at the top.

5 stages, and you own the last 4

Xadaro handles the work in Preparing. Once you send the application, you move it through Applied, Interviewing, Offered, or Closed because only you know what happened next.

  • Preparing

Match the role, tailor the CV, review the letter, and build your interview prep. If a run fails, the row tells you what to retry.

  • Applied

Mark the job as applied and add the date so Xadaro can surface it when a follow-up may be due.

  • Interviewing and Offered

Move the job forward as the process changes. Your interview prep stays attached when the call is booked.

  • Closed

Rejected or withdrawn. Nothing is deleted on the way out: the posting, the documents, and the notes stay on the record.

The follow-up you meant to send

See up to 3 applications that need you next, with a clear reason for each one.

  • A follow-up you set, come due

Mark a job applied, set a follow-up date, and it returns to the top of the tracker when that day arrives.

  • An applied job that has gone quiet

Set no date and a job you marked applied comes back on its own after 14 days of quiet. That count runs from the applied date you entered.

  • Your dates, not a signal from the employer

Xadaro doesn't read your inbox or an employer's system. A follow-up card means the dates you entered say it may be time to act.

Questions about tracking

Paste the description out of the email or message where you heard about it. An application starts from posting text because that text is what your profile gets matched against. A URL is optional; pasted text always works.

No, and nothing here is built to. Xadaro doesn't connect to your email, and it has no way to see an employer's applicant system. You move a job to Interviewing or Offered because you know it moved. The upside of that boundary is that the tracker never tells you something hopeful it cannot actually see.

The card says which reason it is. 2 of them are dates on a job you have already marked applied: either a follow-up you set has arrived, or you set no follow-up and more than 14 days have passed since the applied date. Both are arithmetic on dates you entered. The rest are work that stopped, like a run that failed or a job you haven't matched or tailored yet.

No. Marking a job rejected or withdrawn keeps the posting, the tailored CV, the cover letter, the prep, and your notes on the record. The point of closing it is to move it down into Closed, not to lose the evening you spent on it.

3 new applications a month, counted from the first of the month. Nothing is deleted when you reach it. Saved CVs are a separate cap of 3 at a time, so you can save a new one once you are back under the cap. A CV you tailor for an application lives on that application and never spends one of those slots.
